Privacy Policy

ZER0 Esports (“ZER0,” “we,” or “us”) cares about the privacy of the players, fans, applicants, partners, and visitors who interact with us through this website, our official Discord server, our tryout and trial programs, and other community surfaces we operate.

This Privacy Policy explains what information we collect, why we collect it, who we share it with, and the choices you have. It applies to the public ZER0 website and the related community surfaces we run directly. It does not apply to third party services we link to or embed; those are governed by their own policies.

1. Scope

This policy covers the website at this domain, the staff areas protected by Clerk, our official Discord server, and any tryout, trial, partnership, or contact intake we run through these surfaces. It does not cover external streams, sponsor properties, or third party platforms (Twitch, X, Instagram, YouTube, TikTok, Discord itself), each of which collects data under its own policy.

2. Information we collect

Information you give us directly

  • Contact form submissions. When you write in via the contact page, we receive the name, email, and message you provide. If you mention third parties (for example, your team, your in game name, your prior org), we will receive that too.
  • Tryout and trial applications. For tryouts and trials we may collect your in game name, region, rank or tracker links, role or agent pool, availability, age confirmation, Discord handle, and any reference links you choose to share (VODs, highlights, prior team history).
  • Discord interactions. When you join our Discord, Discord shares your account ID, display name, avatar, and the roles assigned to you in our server. Messages you post in moderated channels are visible to our staff and to other members of those channels.
  • Staff sign in. Our staff and contributors sign in through Clerk. For those accounts we receive identifiers, email, and authentication metadata from Clerk in order to authorize access to internal tools.

Information collected automatically

  • Server and request logs. Like most websites, our hosting provider records standard request metadata such as IP address, user agent, referrer, and timestamp. These logs are kept for a short window for diagnostics, abuse prevention, and reliability.
  • Performance and error data. We may capture aggregate performance metrics and error traces from the site to help us fix bugs and improve speed. These do not include the contents of forms or messages.
  • Cookies and similar storage. We use a small number of cookies, described below.

Information from third parties

  • Clerk. Provides authentication for staff. Clerk shares limited identity data with us so we can authorize access.
  • Discord. Powers our community. Discord shares the data described above when you join our server, and embeds on our site may set Discord cookies if you interact with them.
  • Twitch. Embeds the live stream player on the home page; Twitch may set its own cookies and track interactions inside the player.

We do not knowingly collect government identifiers, payment card data, biometric data, or precise geolocation through this site.

3. How we use information

We use the information described above to:

  • Respond to messages you send through the contact form and follow up on partnership, sponsorship, or media inquiries.
  • Run tryouts and trials, evaluate applicants, schedule scrims, and communicate roster decisions.
  • Operate the Discord community, including moderation, role assignment, and announcements.
  • Authenticate staff, coaches, and approved contributors for internal tools.
  • Operate, secure, debug, and improve the site, including diagnosing issues and preventing abuse.
  • Comply with legal obligations and enforce our Terms of Service.

We do not use the information you share with us to build advertising profiles, and we do not run third party ad networks on this site.

5. Sharing and disclosure

We do not sell or rent personal information. We share it only in the limited cases below.

  • Service providers. Vendors that help us run the site and the organization process data on our instructions. These include our hosting and managed database providers, Clerk (authentication), and Discord (community platform).
  • Roster and partnership counterparts. For tryouts, trials, and partnership conversations we share relevant information with the staff, coaches, and partners involved in that decision.
  • Legal and safety. We may disclose information to comply with the law, respond to lawful requests, enforce our Terms, protect our community from harm, or investigate suspected abuse.
  • Successor entities. If ZER0 reorganizes, merges, or is acquired, information may be transferred to the successor entity, subject to a privacy notice that is at least as protective as this one.

6. Cookies and similar technologies

We use a small number of cookies and similar storage. They generally fall into three buckets:

  • Strictly necessary. Session and CSRF cookies required to keep the site secure and to keep staff signed in through Clerk.
  • Functional. Local storage and small preferences (for example, remembering you have already dismissed the brand intro overlay).
  • Embedded media. When you interact with embedded Discord widgets or Twitch players, those providers may set their own cookies under their own policies.

You can clear or block cookies through your browser. Doing so may break parts of the site that depend on them, such as staff sign in or third party embeds.

7. Third party services

We rely on the following third party services to operate. Each one has its own privacy practices that apply when you interact with it.

  • Clerk — authentication for staff accounts.
  • Discord — our community server and embedded widget.
  • Twitch — live stream player embedded on the home page.
  • X / Twitter, Instagram, YouTube, TikTok — social channels we link to.
  • Hosting and managed database providers that run the website infrastructure on our behalf.

We choose providers we believe are reputable, but we do not control how they process data once you interact with them directly. Please review their privacy policies for the most accurate information.

8. Data retention

We keep information only as long as we need it for the purposes described in this policy or as required by law. As general guidance:

  • Contact form messages are kept while the conversation is active and for a reasonable follow up window after.
  • Tryout and trial application records are kept through the relevant tryout cycle and for a limited period afterwards so we can revisit candidates for future opportunities, unless you ask us to delete them.
  • Server logs and security telemetry are kept for a short rolling window.
  • Staff account records persist while the account is active and are cleaned up after offboarding.

9. Your choices and rights

Depending on where you live, you may have the right to:

  • Request a copy of the personal data we hold about you.
  • Ask us to correct information that is inaccurate.
  • Ask us to delete information when we no longer need it.
  • Object to or restrict certain processing, or withdraw a consent you previously gave.
  • Request that we transfer information to another service, where technically feasible.
  • Lodge a complaint with your local data protection authority.

To exercise any of these rights, write to us through our contact page. We may need to verify your identity before acting on a request, and some rights are limited by exceptions in the applicable law.

10. Children's privacy

The website is not directed at children under 13, and we do not knowingly collect personal information from anyone under 13. Some parts of our community, including tryouts and certain Discord channels, are intended only for participants 16 or older or for minors with verifiable parent or guardian permission. If you believe a child has shared information with us without that permission, please contact us so we can delete it.

11. Security

We use reasonable technical and organizational measures to protect information, including encryption in transit, scoped access for staff, role based permissions, and provider level controls from our hosting, database, and authentication vendors. No internet service is perfectly secure, and we cannot guarantee that information will never be accessed improperly. If we learn of a security incident affecting your data, we will respond consistent with our legal obligations.

12. International data transfers

Our hosting, database, and authentication providers operate in multiple regions. Information we collect may be processed in countries other than the one you live in, including in regions where data protection law differs from your home country. Where required, we rely on standard contractual clauses or comparable safeguards provided by our service providers.

13. Changes to this policy

We may update this Privacy Policy as our operations or the law changes. We will update the “Last updated” date and, when a change is material, we will post a notice on the site or in our Discord. Your continued use of the site after the change takes effect means you accept the revised policy.
